JOB TITLE: Accounting Clerk
REPORTS TO: President & CEO and Contract CFO

Heart of Maine United Way (HoMEUW) is seeking a mission driven individual with accounting experience to join our hardworking team in the role of Accounting Clerk. Operational Excellence is a strategic priority for HoMEUW and the Accounting Clerk is a pivotal member of the Operations Team who ensures the highest levels of efficiency and trust for our donors and community partners. The Accounting Clerk is critical to HoMEUW’s strong foundation of rigorous financial analysis and integrated technology platforms that enables HoMEUW to stay accountable, mitigate risk and build trust.
This position provides support for all aspects of organizational accounting including financial reports, records, and general ledgers; general accounting tasks, billing activities, accounts payable and accounts receivable. As well as supporting the Finance Committee, annual audit, tax filings and reporting requirements. This position also supports human resource activities including benefits enrollment/changes and payroll.
The successful candidate will embrace change, new technologies and automation whenever possible with an eye for system integrations. A focus on creativity, team work and problem-solving is expected to support the creation and implementation of plans to help the HoMEUW be successful in achieving its mission. A successful Accounting Clerk will demonstrate a strong team orientation and a commitment to integrity, efficiency, innovation and continuous improvement. An accounting degree and a minimum of two years experience as accounting support staff is required.

JOB TITLE: Accounting Intern
REPORTS TO: Accounting Clerk & Contract CFO
TIME FRAME: 10-20 hours per week. Schedule is flexible.
KEY RESPONSIBILITIES:
- Accounts Payable bill posting.
- Issuing checks, and/or assembling vendor bills to checks for signature.
- Processing and importing batch AP vendor transactions (Designations/Allocations) into QuickBooks
- Bank reconciliation or electronic bank feeds reconciliation.
- Setup excel spreadsheets (as needed) and if the intern has exceptional excel skills refining some of our existing tools.
- Filing and opening mail.
- Posting adjusting journal entries.
- Understanding the pledge process – Andar as an external subsidiary ledger and the relationship to Quick Books.
- Work on special projects and assignments as needed.
- Support planning and implementation of HoMEUW events as needed.

JOB TITLE: Business Administration Intern
REPORTS TO: Director IT & Operations
GENERAL SUMMARY: The Business Administration Intern supports general office functions and will provide administrative and office support for a team of 10 staff. This individual will present a professional and positive first impression of Heart of Maine United Way to those calling or visiting our offices. Responsibilities include administrative tasks and/or special projects, to include outreach, that support all of HoMEUW’s functions, our various programs, executive staff, and department managers.
TIME FRAME: 10-20 hours per week. Preferred afternoons, but flexible.
ESSENTIAL JOB FUNCTIONS:
- Provide lead and/or back up receptionist support to include greeting visitors in person or by telephone and to connect those with the appropriate staff person or services that will best serve their needs in a friendly, professional manner.
- Provide office support functions including scanning, filing, copying, data entry, and office equipment maintenance.
- Assisting in executing mailings, to include review of lists for duplicates, mail merging, printing, and preparing for mailing.
- Assisting Resource Development with data entry related to pledge packet processing and creating or updating accounts while maintaining strict standards for donor data integrity.
- Provide support for Resource Development efforts; prospect research, event coordination, etc.
- Assisting Community Impact with the VolunteerME online platform and volunteerism efforts, food and supply drives, and other projects as assigned.
- Maintaining HoMEUW’s web calendar of events and support Marketing in social media.
- Supporting general office needs such as organization and monitoring of office supplies, light cleaning duty as needed.
SKILLS/EXPERIENCE/TRAINING REQUIRED
- Knowledge of Microsoft Office Suite (Word/Excel/Outlook)

JOB TITLE: Community Impact Intern
REPORTS TO: Community Engagement Manager
GENERAL SUMMARY: Responsible for researching, developing executing and supporting activities associated with Community Impact projects and initiatives. This intern will work part time in the HoMEUW Office (700 Main St, Suite 1, Bangor)
TIME FRAME: 10 to 20 hours per week. The schedule is flexible.
ESSENTIAL JOB FUNCTIONS
- Researching best practices for existing and potential Community Impact projects and/or initiatives.
- Support HoMEUW outcome measurement for initiatives and collaborations; including research and data collection.
- Support Food Security efforts, including but not limited to Pantry Project, NALC Food Drive, Hancock County Food Drive etc.
- Support volunteer center efforts through maintaining volunteermaine.org website. This includes but is not limited to growth of the database through outreach to nonprofits and community organizations.
- Assisting with management of volunteer inquiries, group volunteer projects and volunteerism events.
- Support Community Needs Assessment efforts through organizing research, supporting outreach efforts, data collection and management.
- Work on special projects and assignments as needed.
- Support planning and implementation of HoMEUW events as needed.
SKILLS/EXPERIENCE/TRAINING REQUIRED
- Student pursuing an associates, bachelors, or advanced degree, in the field of social work, health and human services, non-profit administration, business or other relevant fields.
- Strong communication (verbal and written) and interpersonal skills.
- Practical understanding of research and statistics and the ability to articulate results.
- Ability to analyze problems, develop and implement creative solutions.
- Intermediate to Advanced abilities with technology and computer usage.
- Ability to plan and manage multiple tasks.

JOB TITLE: Marketing Intern
REPORTS TO: Chief Development Officer
GENERAL SUMMARY: The position of the Marketing Intern is to provide support to Heart of Maine United Way’s Resource Development & Communications department. This intern will work part time in the HoMEUW Office (700 Main St, Suite 1, Bangor)
TIME FRAME: 10 to 20 hours per week. The schedule is flexible.
ESSENTIAL JOB FUNCTIONS
- Update and create collateral materials including posters, flyers, ads, rack cards, etc. Adhering to United Way’s brand guidelines. Work with all departments on specific needs.
- Maintain and update social media platforms including Facebook, Twitter and Instagram. Working with the Chief Development Officer to create a weekly list of updates and tweets. Monitor best times to post and respond as needed to requests.
- Maintain and update website and assist in an upcoming relaunch.
- Assist in creation of e-newsletters
- Work on special projects and assignments as needed.
- Support planning and implementation of HoMEUW events as needed.
SKILLS/EXPERIENCE/TRAINING REQUIRED
The successful candidate will be proficient with Adobe Indesign, Illlustrator and Photoshop as well as Microsoft Office. Candidate must have a strong oral and written communication skills. Be energetic and self motivated, outgoing and have an ability to work successfully in a team environment.
